Opportunity

e-Zinc is searching for an Office Administrator to join our incredible team. This is a rare opportunity that will provide a platform for the right person to help a start-up company achieve our vision and contribute meaningfully to our success. Accountability

Reporting to the VP People & Culture and working closely with across several functional teams, you will be the “go-to” person in the office. No day will look the same as you will be responsible for supporting the Executive team and the Company as a whole. The tasks will vary from large to small, business-oriented to technical, and day-to-day and larger projects – regardless of the task, you take pride in the fact that you are the glue that holds everything together and enables others to focus on their priorities, which will in turn accelerate e-Zinc’s growth.

Position scope and responsibilities

  • Implementing and maintaining procedures and office systems to ensure a well-run, organized, and efficient workplace.
  • Managing the company utilities and shipping accounts and related administration, and coordinating with the Facilities, Purchasing and Finance team for documentation & processing payments.
  • Supporting the CEO and Executive team on a variety of professional and personal matters to free schedules to focus on the most critical business priorities, which includes calendar management, travel arrangements, expense reports and other administrative tasks.
  • Manages front desk administration and is the first point of contact for guests and important visitors.
  • Planning and coordinating business meetings and company events that take place internally and externally, including making reservations, ordering food and supplies for guests.
  • Ordering and maintaining inventory of office supplies and other workplace essentials.
  • Keeping important information and documents including contracts, invoices, Non-Disclosure Agreements, organized physically and electronically.
  • Maintaining a high degree of discretion and confidentiality.
  • Any other responsibilities as required.

Qualifications

  • 3-5 years of work experience in the same or in a similar role.
  • Superior time management and organizational skills.
  • Comfort with technical subject matter as well as business concepts and issues.
  • Experience working with multiple stakeholders and colleagues in a fast-paced business environment.
  • Exceptional communications skills – oral, written, and presentation skills.
  • High level of maturity, integrity, and personal effectiveness.
  • Time-management skills and ability to multitask and work in a fast-paced environment
  • Computer and office equipment skills.
  • Must be legally eligible to work in Canada.
